1. This tutorial demonstrates the latest version of the TMP system and is provided for familiarisation purposes only. All datasets used are illustrative and do not represent actual, current or historical Trainee data.

2. The first step is to open Home and click My Assigned Actions

3. Now select Learning Capture to bring you to the Learning Capture section.

4. You will see a list of the Learning Captures where your review has been requested. Scroll and click here

5. Click Review

6. Review all the details of the Learning Capture

7. Review all the details of the Learning Capture. Scroll down and click to review any documents attached by the Trainee

8. Scroll down and view the Declarations checkbox

9. Scroll down to the Feedback requests - assigned to me section

10. Click the downward facing arrow

11. Click Review

12. Review the Feedback Request from the Trainee

13. Read the Personal Message provided by the Trainee

14. Scroll down and click Feedback

15. Click Submit

16. View the Feedback Request Status which now reads as Feedback Provided

17. Scroll down to view any other Feedback Requests sent to other assessors

18. Scroll up and click Exit

19. You will see there is now no longer any Learning Capture feedback requests to view or action

20. That's it. You're done.

2. As an Assessor, you will be notified that there is a feedback request from a Trainee on a recent Observation Capture.

This is a work-based assessment tool which provides a structured process for trainees to demonstrate their knowledge and skills.

3. To navigate to the Observation Capture, click the TMP portal link.

Note: You do not need a College account to complete the feedback form.

4. If you are the trainee's assigned DPE or supervisor, you can also access the Observation Capture directly from within the TMP under My Assigned Actions.

5. A webform will open with the Trainee & Program Details to review.

6. If you believe this has been sent to you incorrectly, you can choose to Decline Feedback.

7. Scroll down to review the Observation Capture Details.

8. You can update any of the fields shown here, including the Observation Capture Type, Summary of Activity, Complexity and Primary Learning Goal.

9. Click Save and Next to progress to the Learning Goal Components, Trainee Reflection and Assessor Feedback sections.

10. This page shows a summary of what has been entered by the trainee.

11. Scroll through the details to get to the Learning Goal Components section.

12. Continue to scroll to get to the Learning Goal Components section below.

13. Under Learning Goal Components, the trainee has indicated Yes and No to the components covered in the observation.

14. Trainees do not need to demonstrate every single component of an EPA in a single observation capture.

At a higher level, Panels and supervisors will assess exposure across multiple observations.

15. You can edit these as needed by clicking on the Yes and No buttons.

You should base your assessment solely on the one encounter, ensuring it reflects the trainee's abilities in that moment, rather than overall capabilities.

16. Scroll to the next section, Trainee Reflection.

17. Now you will see the Trainee's Reflection from the Observation Capture. Review the responses written by the trainee.

18. Scroll to the next section to provide your Feedback.

19. Next step is to finalise the Assessor Feedback.

Again, you should base your assessment solely on the one encounter, ensuring it reflects the trainee's abilities in that moment, rather than overall capabilities.

20. If you gave your feedback to the trainee at the time of the activity, they may have entered it here. Please edit any information entered and ensure it is accurate if required.

If this section is blank, please fill in all details.

21. Click the magnify lookup to edit the supervision rating scale level.

22. If you need to go back and view the previous page, click Previous in the bottom left corner.

23. Now read and check the Assessor Declaration, to confirm the information entered is accurate.

The data from Observation Captures helps to form an overall rating for a Progress Report and progression decisions.

24. Click Submit to finalise your feedback and send it back to the Trainee.

25. You will now see a confirmation message.

The Observation Capture is now deemed Complete. Please note, the trainee will now have the option to go back into the Observation Capture and add a comment.

26. That's it. You're done.

Instructional video - Respond to a rotation progress report

1. This tutorial introduces the latest TMP system to help you get familiar with it.

All data used is for demonstration purposes only and does not reflect real trainee records.

2. In this demonstration, a Rotation Supervisor completes a Basic Training Rotation Progress Report (RPR) review, assessing the trainee’s performance and providing feedback on their progress.

3. If you accessed the review via a notification, you will be taken directly to the report.

Otherwise, navigate to Home and select My Assigned Actions.

4. Scroll to Rotation Progress Reports and click the link to progress.

5. Select the trainee to open their report.

Click Review to progress.

6. Click action menu

7. Click Review.

8. On the Reports page, a Reports Checklist sidebar is available to assist you.

The sidebar can be toggled open or closed as needed.

It offers clear visual and structural cues to help guide you through the report.

9. The sidebar displays the completion status of each action requirement and identifies the intended user for each section.

It also provides clarity on the supervisor review process and improves visibility of supervisor actions and progress.

10. Throughout the Reports page, instruction text is provided to guide you.

It clearly indicates which sections are view-only and which require action.

11. In the Rotations section, you will see a summary of the selected rotation.

To explore further details, such as learning goal opportunities and custom goals, click View Details as shown.

12. The Progress Review Reports section displays all previously completed reports for the selected Phase.

You can review these reports to support your current report.

In this example, this is the first Report of the current Phase.

13. The Phase Requirements section provides an overview of assessment outcomes for the selected Phase.

14. Supervisors are encouraged to review these assessments in various states to support completion of their review.

Click the View details to view specific assessments.

Once all requirements are reviewed, move to next section of the report.

15. Navigating Back to Progress Report

After reviewing a Phase requirements assessment, click the browser back button to return to the progress report.

16. Navigate to the Program Level Requirements section to review relevant assessment requirements.

These requirements vary by training program, and some programs may not include this section.

17. In the Learning Courses section, you can view the status of the trainee's training program’s phase learning course requirements.

Review this section to ensure all required courses are completed or in progress.

18. The Assessments mapped to Learning Goals section presents assessment ratings—such as observation capture ratings—mapped against learning goals.

Click the link to open and review the full details for the report.

19. Click here

20. In the Learning Goals section, the Trainee and Supervisor(s) evaluate performance against each learning goal using a rating scale appropriate to the learning goal type.

All learning goals must be rated.

21. Learning Goal Rating is the first action required of a Supervisor.

If the report is initiated by the Supervisor, they may complete the trainee’s ratings on the trainee’s behalf to support report completion.

22. Scroll down and click here

23. Click Supervisor Review

24. Click Select Rating

25. For each Learning Goal, click the Select Rating field and select the appropriate rating based on performance.

Repeat this step for all learning goals to ensure each one has been assessed.

26. Repeat for remaining learning goals.

27. Final Learning Goal Rating
You are now at the final Learning Goal.

Select the final rating to complete this section.

28. Once you have finished entering ratings, click Save Changes.

This ensures your progress is saved before moving to another part of the report.

29. After saving your ratings, the Report Checklist will update to show Learning Goal Rating Complete in green, indicating this section has been completed.

This may take a few seconds to update.

30. Supervisor Learning Goal History summarises any changes supervisors have made to the Learning Goals from previous reviews.

If you have made changes, you will be prompted to give a reason.

31. Trainees need to enter any leave taken during the Rotation (except for Interruption to training, which need to be added via an interruption rotation plan).

32. In the Trainee Rotation Summary Comments section, the trainee reflects on their rotation experience by responding to the following questions:

What went well during the rotation?

What could you do to improve in the future?

33. To view open or closed training conditions, select the link provided to open the details.

34. Click here to open.

35. The Supervisor Review section contains the overall rating for the rotation.

Provide feedback on the trainee’s progress in this section.

36. Here you are Supervisor Review 1.

37. Click Add to add a review

38. Enter a detailed response for What did the trainee do well during this rotation?

39. Enter a detailed response for What could the trainee do to improve up in future?

40. Add a Yes or No to - Has the trainee demonstrated the ability to plan and and manage their learning and to complete their learning and assessments in a timely manner?

41. If you select No, you will need to add a Comment to explain your reasoning to the trainee.

42. Select Yes or No to - Is the trainee on track to meet the RACP's expected performance standard for the phase?

43. If you select No, you will need to add a Comment to explain your reasoning to the trainee.

44. In “How is the trainee progressing overall for this phase?”, select one of the three progress ratings from the dropdown.

45. Select review progress option.

46. Add a comment or note to support a No / Unsatisfactorily feedback response you have added.

47. Click Save to return to the Report main page.

48. The review has now been added, and the progression recommendation is colour-coded for easy reference.

Note that Supervisor Review 1 is now Complete in the Report Checklist.

49. The trainee may add a reflection after reviewing the Supervisor’s feedback.

50. Under Supervisor Declaration, confirm that you have discussed the report content with the trainee.

Then select the declaration checkbox.

51. The Supervisor Declaration in the Report Checklist is now Complete.

52. Once you are ready to submit your report, click Ready to Submit.

If you are not ready, select Save to exit and return later to complete the report.

53. In the checklist, the Submit step will remain Incomplete until you submit the report and reopen it.

Once submitted, the Report Status at the bottom of the checklist will change to Completed - Pending Additional Reviews.

54. Click Submit to finalise the report.

This will move the report to the next stage, where the trainee can optionally add a reflection.

However, note that report is considered complete at this point.

55. A success message will appear to confirm that your report has been successfully submitted.

The second Rotation Supervisor will receive a notification requesting them to either complete an additional review or agree with your review.

56. Click Exit to return to the Assessment page.

That's it You're done!

We will now continue this tutorial as the second Rotation Supervisor.

57. Rotation Supervisor 2
You will receive a notification advising that a trainee’s Rotation Progress Report has been reviewed.

You are required to review the report and either:
Agree with the existing review, or Submit an additional review

58. Using the link provided in the notification, you will be taken directly to the report, where you can begin your review.

59. To complete the review within the TMP Portal, select “My Trainees.”

As the first Rotation Supervisor has already completed their review, no link will be available under “My Assigned Actions.”

60. Then click My Trainees

61. Locate your trainee and click on their name, or use the ‘Actions’ button to continue.

62. Select the trainee’s Assessment Requirements tab.

63. Scroll to Rotation Progress Report and click View details to continue.

64. Locate and open the report you need to review.

65. Similar to Rotation Supervisor 1, you are encouraged to review all sections of the report before providing your agreement or additional review.

66. When you have finished reviewing the report, click Supervisor Review 2 to proceed to the Supervisor Review section.

67. Here, you will be able to view the first Rotation Supervisor’s review.

Click “View Details” to see the full review.

68. You may then either:

Select “Add” to submit your own review, or

Select “Agree with Review” to endorse the existing review.

69. For the purpose of this tutorial, select ‘Agree with Review’ to continue.

70. Review the response to What did the trainee do well during this rotation.

71. Review the response to What could the trainee do to improve upon in future.

72. Review the selection of Yes or No to Has the trainee demonstrated the ability to plan and and manage their learning and to complete their learning and assessments in a timely manner?

73. Next Is the trainee on track to meet the RACP's expected performance standard for the phase?

74. Lastly, see the selection for How is the trainee progression overall on the phase?

75. Supervisor Agreements

Read the statement and, if you agree, select the checkbox.

76. You may add a comment to provide context or support your agreement with the first review.

77. Click Save to return to the report.

78. Supervisor Review 2 is now Complete.

79. Scroll down and click Submit to exit the report.

80. A success message will appear.

Click Exit to return to the trainee's assessment page.

That's it. You're done! Congratulations on completing this tutorial.

2. The following will show how a Supervisor, can use the Quick Create feature to create an Observation Capture for their trainee.

Click the top menu icon to begin.

3. Click Quick Create from the top menu to begin creating a new assessment.

4. The Quick Create page opens, providing guidance for supervisors, including where to access further support and learning resources.

Click Create an Observation Capture to continue.

5. In this example, the Assessor is a Rotation Supervisor and an Education Supervisor.

When the ‘As a Rotation Supervisor’ tab is selected, the list displays trainees for whom the user is the current Rotation Supervisor.

6. When the ‘As an Education Supervisor’ tab is selected, the list displays trainees for whom the user is the current Education Supervisor.

7. To continue as an Education Supervisor, select the trainee you have observed or are currently observing.

8. Update the Observation Activity Date if required.

9. Click Save and Next to progress.

10. Next step is to fill out the Observation Capture Details section.

Click Observation Capture Type to choose from the dropdown menu.

11. Select Observation Capture Type.

12. Click Summary of Activity

13. Then populate the Summary of Activity field with a brief description of the activity.

14. Select the Complexity from the dropdown list either High, Medium or Low.

15. Then select the Primary Learning Goal, related to the observation, using the magnify lookup.

16. Checkbox the Primary Learning Goal.

17. Click Select to progress.

18. Then click Save and Next to progress to the next section.

19. Next, you will be asked to select what Learning Goal Components were covered during the observation.

Trainees do not need to demonstrate every single component of a Learning Goal in a single observation capture.

20. To do this, check Yes to the components, under the Primary Learning Goal, that were observed.

21. Click Yes

22. Click Yes

23. Click Yes

24. You will also need to check No for the components not observed.

25. Next Section is Trainee Reflection.

Assessors can complete this on behalf of the trainee or leave it blank for the trainee to complete.

This form will then be sent to the trainee once the Assessor submits the Observation Capture.

26. In this example, the Assessor will complete the reflection on behalf of the trainee.

Write a response to "What did you do well?", as outlined by your trainee.

27. Write a response to "What could you do to improve next time?", as outlined by your trainee.

28. Next section is Assessor Feedback.

Complete the three questions.

29. To choose a level of supervision required, click the magnify lookup.

30. Check the appropriate rating scale.

Then click Select to progress.

31. Now write a response to What could the trainee improve upon to improve their performance?

32. Once all of the observation requirements have been completed.

Review and checkbox the Assessor Declaration.

33. If you would like to Save and Exit, you can click the button in the bottom righthand corner.

If you are ready to submit, check Ready to Submit.

34. To submit, click the Submit button.

This will send the Observation Capture to the trainee, who will complete their reflection.

35. You will now see a success confirmation message.

The trainee will be notified to review the Observation Capture.

36. Click Exit.
