The RACP is redesigning, developing and implementing new curricula across our Basic Training and Advanced Training Programs.

The new curricula follows a competency-based medical education framework.

The short videos explain the changes to the new RACP curricula.

Submit a rotation plan

48 STEPS

1. This tutorial introduces the latest TMP system to help you get familiar with it.

All data used is for demonstration purposes only and does not reflect real trainee records.

2. This tutorial demonstrates steps to complete a Rotation Plan for a Basic Training trainee.

Steps for an Advanced Training trainee are similar to this.

3. To begin, click Quick Create from the top menu to begin creating a new assessment.

4. The Quick Create page opens, providing guidance on selecting the appropriate assessment options.

Click 'Create a Rotation Plan' to start creating an Observation Capture.

5. Rotation Plan Details open.

6. Under Rotation Plan Details, please select the type of Rotation Plan. In this example, we are selecting an Accredited Setting.

You can also select Non-accredited Setting and Interruption (to Training). Follow steps as required.

7. Select Accredited Setting.

8. Click Save and Next to progress.

9. Started completing the rotation plan.

10. Scroll down and click calendar to add the start date.

11. If you are a new trainee entering a Training Program, you will be required to indicate that this is your first Rotation Plan.

This step indicates the start of your Training Program date and is a required check one time only.

12. Now select the end date of the Rotation.

13. Review and confirm your FTE status.

Note: Rotation duration months underneath.

14. Next step is to add your Primary Setting.

This is the main setting where you are employed or are training. Look for your setting in alphabetical order, either as an individual setting or part of a network.

15. Select Primary Setting.

16. Next step is to add your Training Setting.

This may be the same as your Primary Setting.

17. Select your Training Setting.

18. Click Training Setting Details

19. Training Setting Details provides information on Setting and Network DPEs.

You will be able to nominate your main DPE later in the Rotation Plan.

20. Next section is Rotation Type details, which is information about the subspeciality.

Use the lookup to select Rotation Type.

21. Checkbox the Rotation Type and then click Select to return to the plan.

22. Position description is not a mandatory field for Basic Training. It is fine to leave blank.

Scroll down and type any supporting information in Comments, if needed.

23. See Additional Comments

24. Scroll down and add any supporting Documents.

This is not mandatory for Basic Training.

25. Scroll down to Rotation Supervisor section. Here you can nominate a new Rotation Supervisor or update an existing supervisor. If you do not know your Rotation Supervisor, add them once confirmed.

This should not stop you from submitting your plans.

26. Advanced Training Programs generally require 2 x Rotation Supervisors.

27. Click Add.

28. Click Supervisor Name

29. Please type in your Rotation Supervisor's First Name and Last Name. Beware of hyphens and spelling errors.

Select your Supervisor by clicking the checkbox.

30. Click Select to continue.

31. Confirm pre-populated dates.

32. Click Submit to continue.

33. If you need to add a different Education Supervisor for this particular rotation, you can do add them here.

It should auto populate if you have already nominated your phase Education Supervisor.

34. If your Setting / Network has multiple DPEs, you may nominate a primary DPE for this Rotation.

All other DPEs will still have visibility of your training.

35. If you added the incorrect DPE, you can easily remove them.

36. Move to Learning goals to indicate which opportunities are available during the rotation. Select 'yes' for 'coverage offered' and outline the learning opportunities available.

Click Edit to select coverage and add details of opportunities.

37. Click Yes if there is an opportunity.

Add details of the opportunity. Repeat this for all Learning goals.

38. Once you completed your Learning goals, you need to scroll up to the top of the section and Save.

39. Next section is Custom Goals. These are optional and can be tailored to the trainee’s interests or career aspirations.

Trainees can propose custom goals that may be outside the standard curriculum.

40. You are now ready to review and check your Trainee Declarations.

Please note that Training Program's may have varying declaration requirements.

41. Please review each declaration and check to progress to summary section.

42. Click Ready to Submit to continue and click Submit.

43. You will see that a Rotation Plan has been successfully submitted message.

44. To submit a Rotation Plan in an alternative way.

Go to Rotation Plan tab under your Training Program link. Select 'Add New Rotation Plan' and continue as usual.

Manage Rotations plans from this tab.

45. Cancelling a Draft Rotation Plan

You can cancel a draft Rotation Plan if errors were made during setup, or if your rotation type or location changes before submitting.

46. Click the action button and then select Cancel.

47. A Cancel Rotation Plan message will surface.

Click Proceed to cancel.

If you do not want to cancel, then select Cancel.

48. A success message will appearing advising that this process may take time to reflect.

The Rotation Plan is removed within immediately.

Click Exit to close.

1. The first step is click My Training to navigate to your Training Program

4. On the next screen, scroll to Add New Rotation Plan. As an Advanced Trainee, you are not required to select a Supervisor under Supervisor Nominations section.

This is for Basic Trainees to select an Education Supervisor only.

5. Under Rotation Plan Details, please select the type of Rotation Plan. In this example, we are selecting an Accredited Setting.

You can also select Non-accredited Setting and Interruption (to Training).

20. Please type in your Rotation Supervisor's First Name and Last Name. Beware of hyphens, spelling errors and avoid using Preferred Names. Trainees can wildcard (*) search for their supervisor. i.e *Jacob Globe as an RS, can search *Globe.

If you wish for Trainee to amend their Rotation, provide feedback in Comments and select Return to Trainee and then Return to Trainee.

The Rotation Plan will be considered Submitted and will move to the next stages of review by the College.

1. This tutorial demonstrates the latest version of the TMP system and is provided for familiarisation purposes only. All datasets used are illustrative and do not represent actual current or historical Trainee data.

2. This tutorials shows how to complete a review of an Advanced Training Rotation plan whether you are the first or the second reviewer.

3. You can access a Rotation Plan from a notification received, from inside the TMP Portal under My Assigned Actions or My Trainees.

4. Via My Assigned Actions

5. Click Rotation Plan to open Rotation Plans page.

6. Page opens to My Assigned Actions - Rotation Plan where you can access Rotation Plans you are required to review as a Supervisor.

7. Go to Actions, then Edit to complete a review.

8. The alternative options to access a Trainee record is under My Trainees.

9. You land on a dashboard titled "My trainees nominated via Rotation Plan". Scroll to the Trainee record to review, click trainee name to open up their specific Training Program details.

10. Once on the Trainee page, click Rotation Plan tab

11. Scroll to the Rotation plan to review, click the Action button.

12. Click Edit

13. First section is Training Program Details

14. Scroll down and to Rotation Period. Most sections from this point on are editable if require to edit.

15. Rotation Period has the start and end date of the Rotation. The Trainee's FTE and Rotation duration in months.

16. Next section is Training Setting Details which is the Training Setting for this Rotation.

17. The rotation type details field will include the specialty information.

18. Professional Experience provide information on what professional experience their rotation contributes to as per their specialty LTA programs. This is mandatory section for Advanced Training.

19. Scroll down to Position Description.

Here Trainees provide details such a job offer, time tables, weekly activities. Trainee will add supporting documented evidence further down the plan.

20. Additional Comments allows the Trainee to add details such as training at multiple settings or additional rotation types.

21. Under Documents Trainees can add their position description supporting evidence.

22. Next section is nominated Rotation Supervisor. For most Advanced Training Program's there are two Rotation Supervisors required to support a Trainee. Here you will see the name of the two Rotation Supervisors nominated by the Trainee.

23. Note that a Trainee can extend the Trainee / Rotation Supervisor relationship if the required teaching and learning activities are not completed within the original rotation period entered.

24. Next is the Learning plan section where trainees identify coverage of their learning goals and learning opportunities. Review details of Coverage and Opportunities Available.

25. As a Supervisor , you can edit Learning Goals on behalf of the Trainee. Click Edit.

26. Navigate to the learning goal. If the trainee has the opportunity to cover off this learning goal, the toggle can be switched to yes.

27. If required, click here to enter in any learning opportunities that the trainee can access during the rotation.

28. Once reviewed, scroll up to and click Save to continue.

29. Custom goals are optional and can be tailored to the trainee’s interests or career aspirations. Trainees can propose custom goals that may be outside the standard curriculum.

30. Note Trainee Declarations

31. Note Status of the Rotation Plan.

32. Next is Review Feedback where each Rotation Supervisor confirms the trainee inputted statements and also provides feedback.

In this example, Isabel is the first supervisor to complete the review.

33. Click View/Edit

34. Select and confirm each statement with either Yes or No. Add a comment for the Trainee to review or to additional information if required.

35. Select Yes or No.

Repeat for the remaining two statements.

36. Under Supervisor Review Comments, you can assist trainees to plan their learning during the rotation, provide information on learning opportunities, etc.

37. Once complete, click Save to progress.

38. Note any Rotation updates in the Rotation History Table and the select Submit to complete.

39. Click Exit.

That's it. You're done. The Rotation Plan will be considered Submitted and will move to the next stages of review by the College.

If you are the 2nd Rotation Supervisor, you still have to "Review" and finalise.

40. Part 2:
Next half of this tutorial show how a 2nd Rotation Supervisor completes their review. In this example, we are the 2nd Rotation Supervisor Liam. You will review and repeat the same steps as the 1st Rotation Supervisor.

41. Access the rotation plan via a notification or inside the TMP Portal via My Trainees

42. or My Assigned Actions.

Once the Trainee's editable Rotation Plan is open, complete all review activities.

43. At the Rotation Supervisor section, note other Supervisors listed.

44. At Review Feedback section. Note review and status given by the other Rotation Supervisor, Isabel.

45. Now enter your review. Click View/Edit.

46. Confirm the trainee inputted statements and also provide feedback if required.

47. Click Save once complete.

48. Your entry now is visible in the Review Feedback section.

49. Scroll to the buttom left hand side of the page to Submit.

50. Note the success message. Click Exit.

That's it. You're done!

1. Interrupted training refers to an absence from your training rotations for more than 8 weeks consecutively in a training year. This includes parental leave (maternity, paternity, or adoptive leave).

2. Trainees will need to register their period of interruption with the College before they begin their interrupted training (if possible).

Trainees should notify their DPE of intended interruption to training and submit leave to their relevant setting.

3. Trainees can interrupt training as many times and for as long as needed, within the allowed time for completion.

4. Note: Training periods undertaken during interruptions aren't eligible for certification unless applied before the due date.

After a continuous period of 12 months trainees should work with their supervisors to create a return to training plan.

1. This tutorial demonstrates the latest version of the TMP system and is provided for familiarisation purposes only. All datasets used are illustrative and do not represent actual current or historical Trainee data.

2. In this tutorial, we will demonstrate how a Trainee can extend their Rotation Supervisor relationship incase of incomplete actions by an Rotation Supervisor and the Supervisor has surpassed their portal end date.

3. This also demonstrates how a Trainee can extend the Rotation Supervisor relationship at the end of a Rotation term.

4. Please note that a Rotation Supervisor should have access to assessments under My Assign Actions and therefore be able to complete tasks.

5. Option 1:
Re-add the Rotation Supervisor with an extended date to a rotation that is over 60 days past.

Click Rotation Plan tab.

6. Scroll to past Rotation

7. Scroll to past Rotation and select Edit

8. In this example, Rotation Supervisor Liam is inactive. By re-nominating and adding a date in the future. Liam will have access to this Rotation Plan again.

Click Add

9. Look up the Rotation Supervisor and checkbox to select.

10. Click Select

11. Select future date

12. Click Submit

13. The Rotation Supervisor dashboard now has Liam showing as Active with and extended date for them to complete Rotation activities

17. Let's look an option 2. Repeat same steps as option 1. Go to rotation plan tab, select Rotation plan you need to extend the Rotation Supervisor date with.

18. In this example, the Rotation Supervisor relationship is about to cease as the Rotation term ended 60 days previously.

Open the rotation plan you are required to extend the Rotation Supervisor access with.

19. Scroll down the the plan's Rotation Supervisor table.

20. In this example, the Rotation Supervisor relationship with Rotation Supervisor Jen is about to end as its is nearly 60 days after the Rotation has ended.

21. Click Edit

22. Scroll to End Date.

23. Select future date.

24. Click Submit.

25. Scroll the bottom of the plan and click Submit

26. See the Completed Successfully message.

Click Exit.

That's it. You're done!

2. In this tutorial, you will accept an Education Supervisor nomination and review what is on your dashboard. Education Supervisors are part of Basic Trainee supervisors.

If an Advanced Trainee has accidently nominated you please reject the nomination.

3. Click My Assigned Actions

4. Click Supervisor Nominations

5. Under My assigned Actions - Supervisor Nominations click the Action button

6. Click Approve Assignment. Note here is where you can reject the assignment.

Select Approve Assignment.

That's it. You're done.
